Effective Date: September 29, 2026 (version 3.0)
Data Collection
mailin collects zero user data. We do not collect analytics, usage data, crash reports, device information, or any other personal information.
Email Processing
All email parsing, search, filtering, and core analysis happens entirely on your device. mailin uses Apple's on-device NaturalLanguage framework and FoundationModels framework for AI features — both run locally on your device.
No Cloud AI
Every AI feature in mailin runs on your device using Apple's NaturalLanguage framework and, on macOS 26 and later, Apple Intelligence's on-device models. mailin has no cloud AI mode and no way to add one: the app has no network entitlement, so it cannot contact any AI provider, and no email content is ever sent to a third party.
Live Mail (not included in version 3.0)
Version 3.0 does not connect to any mail account. The Live Mail page is present as a placeholder and states this in the app: no account can be added and no mail server is contacted. If Live Mail ships in a later version, this policy will be updated before it does, and each account will be authorised by you separately from enabling the page.
Network Access
mailin has no network capability. The app sandbox grants it no network entitlement, so no connection can be made from the app to any server, including ours. The only network activity associated with mailin is Apple's own StoreKit handling of in-app purchases, which runs in Apple's systems, not in the app.
Third-Party Services
mailin does not integrate any third-party analytics, advertising, tracking or AI services.
In-App Purchases & Subscriptions
mailin offers both auto-renewable subscriptions and one-time lifetime purchases. All transactions are processed by Apple through the App Store. Apple's privacy policy governs how purchase and subscription data is handled. mailin does not have access to your payment information. Subscription status is verified locally through Apple's StoreKit framework.
Spotlight Indexing
mailin optionally indexes email subjects and senders using Apple's CoreSpotlight framework so you can find emails from macOS Spotlight search. This index is stored locally on your device and is never transmitted. You can remove all indexed data by clearing your email data in Settings.
Data Storage
Your archive is a folder you own, stored locally in mailin's app container or, if you move it, on a disk you choose. Moving makes a verified copy at the new location and never deletes the old one until the new one is in use. You can clear all saved data at any time from Settings; cleared data is permanently deleted.
Single messages larger than 100 MB are not copied into the archive. mailin records where the message sits in the file you imported and reads it from there when you open or export it, after checking that the file is still the one that was imported. Keep that file where it is; if it is moved or deleted, mailin says the message's content is unavailable rather than showing an empty message.
Children's Privacy
mailin does not knowingly collect any information from anyone, including children under the age of 13.
Changes to This Policy
If we ever change this policy, we will update this page. Given that we collect no data, we do not anticipate changes.
